Getting started

What is Flow?

A shared place to plan projects, find your next task, and follow requests from first reply to resolution.

Flow brings your team's tasks, projects and client requests into one workspace. Instead of searching through a conversation for the latest decision, open the task or ticket: its description, visible discussion, files and activity stay together.

Start with the workspace

A workspace is your organization's home in Flow. Check its name in the navigation before you begin. If you belong to more than one workspace, use the workspace switcher to move between them. Your work, search results and permissions follow the workspace you select.

Teams bring people together. Projects organize related work. A task describes something to do, with an assignee and an open or completed state. A ticket follows a request through the team's workflow. You can belong to several teams and projects without creating another account.

How work fits together

  • Workspace→Teams
  • Workspace→Projects
  • Projects→Tasks
  • Projects→Tickets
A workspace contains teams and projects. Projects organize tasks and tickets; teams bring the people working on them together.

The workspace holds the people and their work. Projects provide context for tasks and tickets; a team's membership can also determine which projects its people can see.

Find your next action

  1. Open My Work to review the work assigned to you. Start with overdue items, then consider what is due next.

  2. Open a task to read its description and visible conversation before acting. Check its assignee, due date and any dependencies.

  3. Use the actions offered on that item. If an action is unavailable, ask the person coordinating the work rather than creating a duplicate.

  4. Return to the project when you need the wider picture. Its list, board, calendar, timeline and dashboard show different views of the same work.

Share with the right people

Seeing a workspace does not mean seeing every project or request in it. Project membership, sharing and your current permissions decide what you can open. Two colleagues may see different lists and totals.

A public comment is visible to people who can access that work item, including authorized clients. It is not a public page on the internet. Check the audience shown by the reply composer before sending.

Make Flow comfortable

Open your profile to choose your language, theme and density. Workspace Help follows your language and appearance choices. Below its search box, use Help home, All guides, Areas, Glossary or What’s new to find a guide. Areas opens the topics available to you. The footer keeps Install Flow, Keyboard shortcuts and Replay the welcome tour together.
